1. Zero Tolerance for Spam
VegaMailer does not permit the sending of spam under any circumstances. Spam means any
unsolicited bulk email, including commercial messages sent to recipients who have not
given prior, explicit permission to receive them from the sender. Accounts found to be
sending spam are immediately suspended and permanently terminated.
We cooperate fully with law enforcement and anti-spam organizations investigating
violations of applicable anti-spam laws, including CAN-SPAM (US), CASL (Canada),
and the requirements of the EU General Data Protection Regulation (GDPR).
2. Permission-Based Sending Only
All accounts using VegaMailer must only send email to recipients who have given
clear, verifiable, prior permission to receive communications from that sender.
Acceptable forms of permission include:
- A confirmed opt-in (double opt-in) subscription process.
- A clear and affirmative single opt-in where the recipient entered their address and checked an explicit consent checkbox.
- An existing customer relationship where the recipient provided their address for the purpose of receiving the type of email being sent.
- A direct business relationship with the recipient who has indicated willingness to receive the communication.
The following list sources are not permitted under any circumstances:
purchased lists, rented lists, harvested addresses, scraped addresses, co-registration
lists where permission was given to an unrelated third party, or any list where the
sender cannot demonstrate explicit, individual recipient consent.
3. Unsubscribe and Opt-Out Requirements
Every marketing or commercial email sent through VegaMailer must include a clear,
functional, and easy-to-use unsubscribe mechanism. Senders are required to:
- Include a visible unsubscribe link or opt-out instruction in every commercial email.
- Process unsubscribe requests promptly — within 10 business days at the latest, with immediate effect where technically possible.
- Never charge a fee, require login, or impose barriers on recipients who wish to unsubscribe.
- Honor all opt-out requests permanently and not re-add removed contacts without fresh, explicit consent.
- Maintain suppression lists that prevent re-sending to unsubscribed contacts.
VegaMailer's built-in sending infrastructure includes suppression list management to
help accounts automatically honor unsubscribe and opt-out requests.
4. Bounce Management
VegaMailer automatically monitors delivery outcomes and enforces bounce management
across all sending accounts:
- Hard bounces (invalid addresses, non-existent mailboxes) are automatically suppressed after the first occurrence and must never be re-attempted.
- Soft bounces (temporary delivery failures) are tracked and persistent soft-bounce addresses are placed on suppression after repeated failures.
- Accounts with bounce rates exceeding acceptable thresholds are flagged for review and may be suspended until the list quality is verified.
- Sending to known invalid or dead addresses is a strong signal of a purchased or unverified list, which violates this policy.
Acceptable hard bounce rates are below 2% of sending volume. Accounts consistently
exceeding this threshold will be reviewed and may be restricted.
5. Complaint Handling
VegaMailer takes email complaint rates extremely seriously. Complaints occur when
recipients mark an email as spam using their email client. We monitor complaint
feedback and enforce the following:
- Accounts must maintain complaint rates well below 0.1% of sending volume.
- Accounts with complaint rates at or above 0.08% receive a warning and are required to investigate and remediate.
- Accounts with complaint rates at or above 0.1% are subject to immediate sending restriction pending review.
- Accounts with sustained high complaint rates will be permanently terminated.
When a complaint is received through a feedback loop (FBL), VegaMailer processes the
complaint signal and suppresses the complaining recipient's address automatically.
6. Content Requirements
All email sent through VegaMailer must comply with the following content standards:
- Accurate and non-deceptive subject lines and sender identity.
- A valid physical mailing address or equivalent identifier for the sending organization in commercial emails (as required by CAN-SPAM and similar laws).
- No deceptive headers, falsified routing information, or misleading sender information.
- No malware, phishing content, illegal material, or deceptive links.
- No email that impersonates another person, brand, or organization.
- No content that promotes illegal activity, hate speech, or harassment.
7. Account Enforcement
VegaMailer reserves the right to take the following enforcement actions against accounts
that violate this Anti-Spam Policy or our Terms of Service:
- Immediate sending suspension pending investigation.
- Permanent account termination for confirmed spam violations.
- Reporting of confirmed abuse to relevant authorities, ISPs, and anti-spam organizations.
- Blacklisting of sending domains or IP addresses associated with abuse.
Enforcement actions may be taken proactively if we detect sending patterns consistent
with spam, even before a formal complaint is received.
8. Applicable Laws
All accounts using VegaMailer must comply with applicable email and privacy laws in
their jurisdiction and in the jurisdictions of their recipients, including but not
limited to:
- CAN-SPAM Act (United States) — requires accurate sender identification, clear opt-out mechanisms, and honest subject lines in commercial email.
- CASL (Canada) — requires express or implied consent before sending commercial electronic messages to Canadian recipients.
- GDPR (European Union) — requires a lawful basis for processing personal data, including email addresses used for marketing.
- UK PECR / UK GDPR — similar consent and privacy requirements for recipients in the United Kingdom.
- Any other applicable national or regional anti-spam or data privacy law.
9. Reporting Abuse
If you have received unsolicited email that appears to have been sent through VegaMailer
infrastructure, or if you believe an account is violating this policy, please report it
immediately to our abuse team:
